EXECUTIVE ADMINISTRATIVE ASSISTANT

The EXECUTIVE ADMINISTRATIVE ASSISTANT will provide a broad variety of administrative support to the President, Executive Vice Presidents, Regional Directors, and Vice Presidents.  

 

Primary Responsibilities 

  • Prepare and edit proposals, correspondence, communications, presentations, and other documents 

  • Liaise with internal staff at all levels as well as outside businesses, organizations, and industry associations 

  • Ability to design, organize, and maintain databases 

  • Organize, file, and retrieve documents and reference materials 

  • Manage and maintain executives’ schedules, appointments, and travel arrangements 

  • Arrange and coordinate meetings and events 

  • Assist in merges/acquisitions 

  • Committee member for all new market sector teams 

  • Create meeting agendas  

  • Record, transcribe, and distribute minutes of meetings 

  • Coordinate project-based work 

  • Proposal preparation and assembly 

  • Preparation of PowerPoint presentations 

  • Review operating practices and implement improvements where necessary 

  • Maintain company organizational charts 

  • Upload and maintain company value submissions  

  • Must exhibit discretion and confidentiality 

  • Produce and maintain monthly company scorecard and financial graphs  

  • Submit monthly expense reports for supervisors  

  • Document creation and filing 

  • Assist with front desk duties as needed  

Minimum Qualifications 

  • Bachelor’s Degree preferred 

  • Proficient in Microsoft Office programs required 

  • Strong verbal and written communication skills
